This Privacy Policy explains how Darkaa (“we”, “us”, or “our”) handles information when you use AI Response Feedback for Forms™.

Information we use

AI Response Feedback for Forms™ uses Google user data only to provide and improve user-facing features of the add-on. Depending on your setup, this can include:

  • Your Google Account™ email address, so the add-on can show account-related choices and send test emails.
  • Your Google Forms™ questions and form settings needed to guide setup and process responses.
  • Google Forms™ responses needed to generate feedback, retry failed checks, show response status, and export reviewed responses.
  • Email addresses selected by you for feedback delivery.
  • Basic processing records, such as whether a response was checked, passed review, failed, or was exported.

How we use Google user data

We use Google user data only for the following app features:

  • To review Google Forms™ responses with AI based on the form owner’s instructions.
  • To send feedback emails to the recipients chosen by the form owner.
  • To let the form owner retry failed processing and export reviewed responses.
  • To show setup, processing, and delivery status inside the add-on.
  • To troubleshoot errors, prevent duplicate or failed processing, and maintain the reliability of those user-facing features.

We do not use Google user data for targeted advertising, personalized advertising, retargeting, selling to data brokers, providing data to information resellers, credit-worthiness decisions, lending purposes, unrelated user profiling, creating unrelated databases, or training AI models.

AI and email services

AI Response Feedback for Forms™ uses Google Gemini™ through Google’s Generative Language API™ to generate feedback. We do not operate our own AI model. The add-on can use either Darkaa’s configured Gemini API™ key or a Gemini API™ key entered by the form owner.

When a response is reviewed, the add-on sends the form questions, the form owner’s review instructions, and the relevant response answers to Google Gemini™ solely to generate feedback for that response.

If you configure an external email provider, the information needed to send the email is sent to that provider. If you use the built-in sender, email is sent through your Google Account™.

When we share, transfer, or disclose Google user data

We do not transfer or disclose Google user data to third parties for purposes other than providing or improving AI Response Feedback for Forms™. We share, transfer, or disclose Google user data only as follows:

  • With Google services, including Google Forms™, Apps Script™, Gmail™ or MailApp™, and Google Gemini™, so the add-on can read the current form, process responses, generate feedback, and send emails.
  • With an external email provider only if the form owner chooses that sender option, and only with the email content and recipient details needed to send the message.
  • With Darkaa-managed backend services only when needed to provide response status, retries, exports, and reliability for the add-on.
  • With service providers that host, monitor, or secure our systems, only under access controls and only as needed to operate the add-on.
  • When required by law or to respond to valid legal process.

We do not sell Google user data, and we do not transfer it for advertising.

Data storage and retention

The add-on stores setup choices and response processing status so it can continue working for the form. This storage is used only for the add-on features described in this policy.

Diagnostic logs may be kept for a limited time to troubleshoot errors and maintain app reliability. We delete or de-identify operational records when they are no longer needed for the purposes described in this policy, unless a longer period is required by law.

You can uninstall the add-on from your Google Account™. You can also contact us at support@darkaa.com to ask about deletion of data related to your use of the add-on.

Data protection

Security procedures are in place to protect the confidentiality of Google user data:

  • We request only the Google permissions needed for the add-on’s features.
  • Data sent between the add-on, Google services, and Darkaa services is transmitted over HTTPS.
  • Production systems and databases are protected by authentication, access controls, and service credentials.
  • Access to production systems and logs is limited to authorized Darkaa operators who need it for support, security, or reliability.
  • Sensitive values, such as API keys, are not shown in the add-on UI after entry and are not intentionally written to diagnostic logs.
  • Diagnostic logging is limited to operational details needed to troubleshoot failures and maintain user-facing features.

What we do not do

  • We do not sell Google user data.
  • We do not use Google user data for advertising.
  • We do not use Google user data to train AI models.
  • We do not read your email inbox.
  • We do not access Google Drive™ files outside the current form.

Google APIs™ data

AI Response Feedback for Forms™ use and transfer of information received from Google APIs™ adheres to the Google API Services™ User Data Policy, including the Limited Use requirements.

Your choices

  • You can pause automatic processing from the add-on sidebar.
  • You can remove recipients or change where feedback is sent.
  • You can uninstall the add-on from your Google Account™.
  • You can contact us to ask about data related to your use of the add-on.
