This Privacy Policy explains how Darkaa (“we”, “us”, or “our”) handles information when you use QR Code Status Tracker.
Install QR Code Status Tracker from Google Workspace Marketplace.
Information we use
- Your Google Account email address, to identify the owner of the tracking setup and attribute operator activity.
- Email addresses that a spreadsheet administrator adds to create scanner access accounts for staff.
- Your current Google Sheets™ spreadsheet name, headers, item rows, item codes, and values needed to create and find tracked items.
- Your chosen status steps, status notes, and tracking history.
- Setup information stored with the spreadsheet so the add-on can continue working in that sheet.
How we use Google user data
- To show the setup wizard and tracking workspace inside Google Sheets™.
- To create and maintain the Trak process that stores item status and history.
- To find items, show their current status, and record status changes requested by staff.
- To create tracking codes and printable QR labels when you choose that option.
- To provide the optional customer status page when you turn that feature on.
- To troubleshoot errors, prevent failed or duplicate operations, secure the service, and maintain the reliability of these user-facing features.
We do not use Google user data for advertising, retargeting, selling to data brokers, unrelated profiling, credit decisions, lending, creating unrelated databases, or any purpose unrelated to the user-facing features described above.
When we share, transfer, or disclose Google user data
We do not transfer or disclose Google user data to third parties except as needed to provide, secure, or support QR Code Status Tracker, with the user’s consent where required. Specifically:
- The add-on sends the setup and item information needed for tracking to Darkaa’s Trak service at api.trak.codes. This can include the sheet name, status steps, item codes, values from item columns, status notes, and status changes.
- When a spreadsheet administrator creates a scanner access account for a staff member, the staff member’s email address is sent to Trak to create, identify, and later remove that account.
- Infrastructure providers that host, monitor, back up, or secure Darkaa’s systems may process data on our behalf only as needed to operate those systems and subject to access controls.
- If the spreadsheet owner enables customer tracking, each item gets a link-only status page at a long, unguessable URL that is not listed publicly. Anyone the owner shares the link with can view the item information published on that page. Customers do not receive access to the Google Sheets™ spreadsheet.
- We may disclose data when required by applicable law or valid legal process, or when necessary to investigate abuse or protect the service.
- If Darkaa is involved in a merger, acquisition, or sale of assets, Google user data will be transferred only with explicit prior user consent where required by the Google API Services User Data Policy.
We do not sell Google user data, disclose it for advertising, or provide it to data brokers or information resellers.
AI and machine learning
QR Code Status Tracker does not use AI or machine learning models and does not integrate with any third-party AI service. No Google Workspace™ API data is sent to an AI provider or used to create, train, or improve AI or machine learning models.
Data storage and retention
- Setup choices are stored in the spreadsheet’s Apps Script document properties for as long as that tracking setup remains configured in the sheet.
- Tracking cases, statuses, history, and the information sent for those cases are stored by the Trak service while needed to provide the active tracking service and its history.
- Scanner access account records are stored while those accounts remain active. A spreadsheet administrator can remove an account from the add-on, and account records can also be included in a deletion request.
- Operational and security logs are retained only for the limited period needed to diagnose errors, prevent abuse, and maintain service reliability.
We delete or de-identify Google user data when it is no longer needed for the purposes described in this policy, unless a longer period is required by law or necessary to resolve a security issue. Uninstalling the add-on stops future access but does not automatically delete tracking history already stored by Trak, because that history may still be needed by the spreadsheet owner.
To request deletion of data associated with your use of QR Code Status Tracker, email support@darkaa.com. After verifying that you own or administer the affected tracking setup, we will delete or de-identify the data under our control unless retention is legally required, and we will confirm when the request has been completed.
Data protection
We use technical and organizational safeguards to protect Google user data from unauthorized access, disclosure, alteration, loss, or destruction:
- We request only the Google permissions needed for the add-on and limit spreadsheet access to the current spreadsheet.
- Data sent between Google Sheets™, the add-on, and Darkaa services is transmitted over HTTPS.
- Production systems, databases, backups, and administrative functions are protected by authentication, access controls, and service credentials.
- Access to production systems and logs is limited to authorized Darkaa operators who need it for support, security, or reliability.
- Diagnostic logging is limited to operational information needed to troubleshoot failures, investigate abuse, and maintain user-facing features.
No method of transmission or storage is completely secure, but we maintain safeguards appropriate to the nature of the data handled by the service.
Your choices
- You choose which sheet and columns to track.
- You choose whether to create QR codes.
- You choose whether to enable link-only customer status pages.
- You can uninstall the add-on from your Google Account.
- You can contact us to request access to or deletion of data related to your use of the service.
Google API data and Limited Use
QR Code Status Tracker’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Raw, aggregated, anonymized, and derived Google Workspace™ API data is used only to provide or improve the prominent user-facing features described in this policy.
Policy updates
We may update this policy when our data practices or legal obligations change. Material changes will be posted on this page and identified by a new “Last updated” date.
