Advanced settings for QR code tickets add-ons

Our QR code ticket add-ons for Google Sheets and Google Forms look simple at first — until your event needs more than one ticket per person, or a guest list where only some people may enter. The good news: those situations are covered.

These used to be special configurations we applied manually when people contacted support. We turned the most frequent requests into settings anyone can switch on without writing to us. Each one now lives on the page it belongs to: check-in options are in the Advanced check-in settings section of the Check-in settings page, ticket count and conditions are on the Ticket creation rules page, and email display options are with the email settings. This page provides detailed information on which situations these settings apply to.

    Bulk download QR tickets

    Emailing tickets works for most events, but sometimes guests need them another way: printed badges on lanyards, cards tucked into mailed packets, tickets handed out at a desk.

    Bulk download adds links to your check-in reports for downloading every generated ticket file at once, as SVG (for design tools) or PDF (for printing). Open a few files and scan them with a phone before printing hundreds.

    Record GPS during check-in

    Do you need GPS locations in attendee check-in reports?

    The location is the position of the smartphone used for check-in, at the precise moment of the check-in scan.

    Record signature during check-in

    This adds a hand-drawn signature input to attendee check-in data.

    This is useful if you need additional proof that the attendee was present. The attendee can draw their signature on the check-in smartphone.

    Offline sync of attendee data

    Normally, each scan checks the attendee list over the internet before deciding whether to accept it. When the venue’s internet is weak — and it often is, right when doors open — scans slow down or fail.

    If you expect to be offline at the event venue, you can enable the offline sync setting. It adds to the check-in app a button you can press to download the current attendee database to your device (while still online).

    Once the attendee database has been downloaded, staff can use the “Find & Check-in” button offline to verify tickets and record check-ins. Everything syncs back to your reports once a connection returns.

    Support “Find & Check-in” mode

    By default, when you scan a valid ticket, the attendee is checked-in right away, with no further confirmation.

    If you need to manually see attendee data before confirming the check-in, use this setting to add a “Find & Check-in” button.

    Add QR image to ticket email

    This setting adds the QR image directly inside the ticket email (in addition to the PDF attachment).

    This can be useful if your attendees are having issues opening PDF files on their phone.

    Disable wallet buttons

    The “Add to Google Wallet” button is automatically added to the ticket email for all projects, and the “Add to Apple Wallet” button is available for paid projects. If your attendees do not use wallet passes, you can disable these buttons using this setting.

    Disable footer in PDF QR code ticket

    By default, the page footer in the generated QR code ticket contains a code (the ticket short code). You can remove it with this option.

    Enable session permissions

    Example: during check-in, if staff have selected session A, attendee X gets in exactly when their row says yes under the Session A column — otherwise they are refused. Without this setting, any attendee can check in to any session.

    In practice this lets you build any access rule you need.

    Conferences use it to track who should receive which goodies — and who has already collected theirs.

    Ticket count source

    If you want each row or response to generate multiple tickets, select the column or field that contains the number of tickets to generate for each row or response.

    Each registered attendee will receive a PDF with multiple pages (as many as the number of tickets set for that attendee).

    Max check-ins source

    A three-day pass, a single-entry voucher, an exhibitor who comes and goes all day: put each attendee’s allowed number of entries in a column, and the scanner enforces it person by person. Only check-in types that allow repeat entries can count, so pick such a type first.

    Custom QR content source

    Already printed QR codes, or tickets from an older system? Do not reprint anything: select the column or field holding the text inside those existing codes, and the check-in app recognizes them next to the codes it generates itself.

    Only create ticket when…

    This setting is only available in our Google Forms add-ons. If your form has a field like “Are you attending?”, you can configure here the response for which a ticket is created and sent. For all other responses, nothing happens.

    Attendee summary format

    In the check-in app, just above the camera viewfinder, you’ll see a summary of each attendee, as you’re checking them in. This summary is automatically generated by default, using fields we detect as important, like the attendee’s name.

    You can customize the information shown (for example, to add an order ID, a group name, etc.) here. Use the search icon to add a field, or type directly in the field (surround field names with brackets).
